Freelance Conference Co-ordinator: LEEF Conference at the Natural History Museum
Duration of contract: July-October 2019 Context To celebrate its 30-year anniversary, The London Environmental Educators Forum (LEEF) are holding a celebratory conference about Urban Environmental Education (UEE) at the Natural History Museum on 7 October 2019. We are bringing together environmental educators from across the UK to explore and examine latest issues, research, trends and practice in UEE. We are looking for an experienced freelancer to manage the last phase of the conference development. The ideal candidate will have experience of developing and running conferences and events and an interest in environmental education, sustainability and/or a background in public engagement with science. The LEEF Coordinator has already mapped out a conference plan with support from a small subcommittee from the board LEEF trustees. A list of speakers and workshops has been agreed. Some speakers have been informally approached. The venue is booked, including the spaces required for the break-out workshops. We now need an experienced freelancer to take on the coordination of the final phase of the conference. Key activities: Finalising and booking speakers and workshop facilitators Scheduling workshops Setting up and managing tickets on Eventbrite Creating guest lists and conference materials Ordering physical marketing material with new LEEF branding Liaising with NHM caterers and conference staff to book all catering Communicating and marketing the event via the LEEF newsletter, Facebook and Twitter account and wider environmental education media and social media channels. Managing the conference budget Regularly meeting with Anna (face-to-face or online) who will sign-off the budget and support curation of thematic content. On-the-day event management Deliverables Eventbrite ticketing set-up and managed Speakers and workshop leaders booked Conference agenda with workshop schedule created Participant list created and updated Conference materials (handouts) created Marketing materials ordered and delivered (pop-up banners and flags) Catering booked and room bookings checked Regular marketing communications completed – via Facebook, twitter and email Joining instructions sent out the week prior to the event Event delivered on-the-day This contract represents around 18 days of work, equivalent of approximately 1.5 days per week with a total fee of £3600 to be invoiced on completion of the conference.
